1. Who We Are

We are committed to protecting your personal data and complying with the EU General Data Protection Regulation (GDPR) and the German Telecommunications Digital Services Act (TDDDG, formerly TTDSG).

2. Data We Collect

2.1 When you visit our website

When you visit workwithreal.com, our web server automatically records the following information (server logs):

  • IP address (anonymised after 24 hours)
  • Date and time of the request
  • Page accessed and referring URL
  • Browser type and operating system
  • HTTP status code and data volume transferred

Legal basis: Art. 6(1)(f) GDPR, our legitimate interest in maintaining website security and performance. Server logs are deleted after 7 days.

2.2 Analytics (PostHog)

With your consent, we use PostHog to understand how visitors use our website. PostHog processes data on EU servers (eu.i.posthog.com) operated by PostHog Inc. We have configured PostHog to:

  • Anonymise IP addresses
  • Not use cross-site tracking
  • Store data exclusively within the EU

Analytics is only activated after you give explicit consent via our cookie banner. Legal basis: Art. 6(1)(a) GDPR, your consent. You can withdraw consent at any time by clicking "Cookie Settings" in our footer.

2.3 Session Recording (Session Replay)

Under the same consent, PostHog also records how your visit unfolds: mouse movement, clicks, scrolling, and the structure of the page shown to you. This produces a video-like replay of your visit. The sole purpose is to find and fix usability problems on this website. We do not evaluate individuals and there is no automated decision-making.

To keep sensitive content out of those recordings, the recording is technically restricted:

  • All form inputs are masked in your browser before anything is sent. What you type, for example your email address or the numbers in our retention calculator, is never transmitted.
  • Embedded third-party content is not recorded, in particular the Cal.com booking window.
  • No audio, no camera, and no keystrokes are captured as text.
  • Processing takes place on EU servers and IP addresses are anonymised.

Legal basis: Art. 6(1)(a) GDPR, your consent. Without consent, nothing is recorded. You can withdraw consent at any time via "Cookie Settings" in our footer; from that point on no further recordings are created. Recordings are deleted as soon as they are no longer needed for the purpose above, and after 30 days at the latest.

2.4 Contact and Scheduling (Cal.com)

If you book a call through Cal.com, your data (name, email, selected time slot, any answers you provide on the booking form) is processed by Cal.com, Inc., 2261 Market Street #4382, San Francisco, CA 94114, USA. Cal.com is certified under the EU–US Data Privacy Framework. For Cal.com's privacy policy, see cal.com/privacy.

Legal basis: Art. 6(1)(b) GDPR, performance of a pre-contractual relationship.

2.5 Forms on This Website

Three forms on this website send data to us: the newsletter field in the footer, the free guide form, and the email audit form. Depending on which one you use, we receive your email address, your first name, and the address of your shop. We use these to send what you asked for, to prepare the audit, and to reply to you. Nothing else. Your address is not sold and no advertising profile is built from it.

Legal basis: Art. 6(1)(a) GDPR, your consent, for the newsletter and the free guide. Art. 6(1)(b) GDPR, steps taken at your request prior to entering into a contract, for the email audit, since the audit prepares a possible engagement.

The entries are processed on the servers of our hosting provider and stored in the customer database we use for enquiries. We keep them until you ask us to delete them; one email to info@workwithreal.com is enough, and the deletion also ends any further contact.

2.6 Email Contact

When you email us at info@workwithreal.com, we store your email address and message content for the purpose of responding to your inquiry. Legal basis: Art. 6(1)(f) GDPR, our legitimate interest in responding to enquiries.

3. Cookies and Storage

We use a cookie consent manager (Klaro, operated by KIProtect GmbH, Germany) to manage your preferences. Klaro itself only stores your consent preferences in your browser's localStorage, no tracking cookies are set before you give consent.

The following cookies and storage mechanisms may be used, subject to your consent:

  • Klaro consent preferences, localStorage, stores your cookie choices. No consent required (functional necessity).
  • PostHog analytics and session recording, localStorage + cookies, activated only with your consent.

4. Your Rights Under GDPR

You have the right to:

  • Access, request a copy of the personal data we hold about you
  • Rectification, request correction of inaccurate data
  • Erasure, request deletion of your data ("right to be forgotten")
  • Restriction, request we restrict processing of your data
  • Portability, receive your data in a structured, machine-readable format
  • Objection, object to processing based on legitimate interests
  • Withdraw consent, at any time, without affecting past processing

You also have the right to lodge a complaint with your local data protection authority. In Germany: Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen (LDI NRW), www.ldi.nrw.de.

5. Data Transfers Outside the EU

We prioritise EU-based data processing. Where data is transferred outside the EU (e.g. Cal.com in the USA), we rely on adequacy decisions or Standard Contractual Clauses (SCCs) as safeguards under Art. 46 GDPR.

6. Data Retention

We retain personal data only as long as necessary for the purpose it was collected, or as required by law. Contact email correspondence is retained for up to 3 years. Analytics data (if consented) is retained for up to 12 months, session recordings for 30 days at most.

7. Changes to This Policy

We may update this Privacy Policy from time to time. The date at the top of this page reflects the latest revision. We recommend checking periodically if you are concerned about how your data is handled.
